Donating Historic Items

In accordance Brookside's Mission, the museum will collect material and information that contributes to the understanding of Saratoga County history.  The collections may include objects (3-dimensional artifacts), images (photographs, paintings, drawings, etc.), manuscripts, published works (books, journals, etc.), oral history, and research conducted by staff and others.

As custodians of Saratoga County's history, Brookside ensures that materials placed in our care are preserved for generations to come. Donating collections to SCHS ensures that the story of Saratoga will become the record by which future generations discover their past. 

Donated materials become the property of the Saratoga County Historical Society via a Deed of Gift form. Please be certain that you are ready and willing to hand over complete ownership of your items unconditionally before you offer to donate. Because of the volume of collections materials, it is not possible, nor prudent to exhibit all of our collections. We cannot guarantee that donated items will be exhibited.

Materials are accepted in accordance with the criteria specified in the Collections Policy of the Saratoga County Historical Society. Brookside's staff reserves the right to accept or deny donations based on appropriateness to the collection and staff and time constraints.

These types of materials we can accept must relate to Saratoga County by virtue of their having:

1) been created or produced in the County, 
2) documented use in the County, or 
3) concern the specific history of the County, i.e. published works.

Further acquisition criteria includes:

1) The object adds to knowledge about Saratoga County. 
2) The current owner of the object will declare in writing, i.e. in the Deed of Gift, that he or she has clear title to the object.
3) The object is free of restrictions that would hamper its use or disposition.
4) The object is not hazardous, i.e. toxic, radioactive, or explosive.  
5)  SCHS can financially afford to catalog and conserve the object.
6) The object can be secured, stored, and exhibited.
7) There are no equally well-documented or similar objects in the collection.
